Public records request – Transylvania County, NC travel expenditures

Hello. We would like to make a public records request for itemized travel expenditures by the Transylvania County, NC Board of Commissioners Chairman and all other commissioners. The time period requested is 2006 through 2018. Additionally, we would like the same data for the current year.

We would appreciate the data being provided in .csv format with individual clearly identified for each travel expenditure, reason for travel, dollar amount for each transaction and vendor the payment was made to.

Also, please include a break down of any per diem paid to Chairman of BOC and Commissioners. Thanks in advance for your assistance!

03/22/19 Editor’s Note to Sender: We have received several requests for this same information related to different counties in NC. In most cases the sender has indicated in the request message that the time frame should include “2006 through 2018” and that, “Additionally, we would like the same data for the current year.”

However, in the dates admin section of the request form they’ve also indicated the timeframe should be “July 1, 2005 – January 31, 2019.”  In those cases, that admin. date range is what we will be requesting for the particular government entity, as is the case with the above request for Transylvania County, NC.

    Please see the attached PDF file for all records responsive to this request covering itemized travel expenditures by our elected officials from July 2015 through January 2019 (FY2016 through FY2019).

     

    For the purposes of your request, I would also offer the additional clarification that during the time period subject to this records request, Mike Hawkins and Larry Chapman both served as Chairman of the Transylvania County Board of County Commissioners.

    Hi Sunshine Request!

     

    Documents related to travel are to be kept in office for only three years and then destroyed under record retention regulations made by the NC Department of Natural and Cultural Resources. Unfortunately we will not be able to provide any documents responsive to “itemized travel expenditures” for anyone affiliated with Transylvania County prior to July 1, 2015 (Fiscal Year 2016).

     

    Our accounting software is not sophisticated enough that I can have it produce a csv that is responsive to this request. We will have to scan the paper forms (called Travel Expense Vouchers in our organization) into PDFs and give you those. These vouchers will contain the information responsive to this specific request.

    Good afternoon,

     

    Transylvania County is happy to provide you with the requested records. Please note the County adheres to the Records Retention and Disposition Schedule per the NC Department of Natural and Cultural Resources, Government Records Section. It is possible we might not have records going back to the year requested, but we will provide what we have on file. Transylvania County just implemented a per diem policy this year, so any reimbursements to Commissioners would’ve been per receipt amount. Again, we will provide records that we have on file.

     

    I have forwarded the request to Finance Director Jonathan Griffin and copied him on this reply.

     

    I will be out of town beginning tomorrow through April 3. Mr. Griffin will more than likely respond directly to the request and I will follow up on my return.
